When I began my entrepreneurial journey as a mom of three, juggling a hurricane shutter manufacturing business with my husband Tim, caring for aging parents, and attempting to carve out time for myself, the idea of adding anything else to our schedule felt impossible. Launching a new podcast, writing a book, and starting my own business seemed crazy. But we did it—and it all started with time blocking.

I first heard about time blocking at the Flipped Lifestyle Community! conference hosted by Shane Sams in Orlando, FL. Shane shared how, when he and Jocelyn decided to launch an online business full-time while working as teachers and raising kids with football practices and endless to-dos, they sat down at a café with time-blocking sheets and scheduled everything—even sleep—for the first time in their lives. That simple yet revolutionary system helped them create a million-dollar business, and they’ve been using it ever since.

Hearing their story was a moment of clarity for me. If they could build their dream life with a full plate, so could I.

When I returned home, I decided to take charge of my time. The first step? Writing down everything that needed to be done each week. I listed everything from big-ticket business tasks like client calls and content creation to personal responsibilities like family dinners, workouts, and walking the dog. Seeing it all on paper was overwhelming at first, but it gave me a clear picture of where my time was going—and where I needed to make adjustments. By categorizing my tasks and assigning each a specific time block, I could structure my day to maximize productivity and create space for the things that matter most.

Today, I’m sharing how time blocking (with the help of Google Calendar) has completely transformed the way I manage my week. It’s not just about getting more done; it’s about creating space for what matters most. Let's get started.

Step 1: List Every Activity in Your Week

Before we even touch Google Calendar, grab a notebook or open a doc and write down everything you need to do in a typical week. I mean everything. Here’s a quick checklist to get you started:

  • Business Tasks: Client calls, content creation, emails, social media, admin tasks, and brainstorming sessions.

  • Family Commitments: School drop-offs, playdates, family dinners, and movie nights.

  • Self-Care: Workouts, skincare routines, therapy sessions, and downtime for reading or Netflix.

  • Household Chores: Grocery shopping, laundry, meal prep, and cleaning.

  • Extracurricular Activities: Kid’s sports, your yoga class, or volunteer work.

  • Social & Fun: Coffee with friends, date nights, and events.

  • Other Essentials: Walking the dog, doctor’s appointments, or that weekly Target run.

By listing everything, you’ll see exactly where your time goes—and where you’re not giving yourself enough credit!

Step 2: Build Your Color-Coded Google Calendar

Now, let’s get to the fun part: organizing your week into a visual masterpiece!

1. Choose Your Colors

Pick a color for each category of your life. For example:

  • Business Tasks: Teal

  • Family Commitments: Purple

  • Self-Care: Pink

  • Household Chores: Yellow

  • Extracurriculars: Green

  • Social & Fun: Coral

  • Other Essentials: Gray

2. Time Block Like a Pro

Here’s an example of what a Monday could look like:

  • 7:00–7:30 AM (Pink): Morning yoga session.

  • 7:30–8:00 AM (Yellow): Breakfast and prep for the day.

  • 8:00–11:00 AM (Teal): Deep work—writing content or strategizing.

  • 11:00–11:30 AM (Gray): Walk the dog.

  • 11:30–12:30 PM (Pink): Lunch break.

  • 12:30–2:00 PM (Teal): Client calls or meetings.

  • 2:00–3:00 PM (Purple): Pick up the kids and hang out.

  • 3:00–4:30 PM (Green): Kids’ soccer practice (bring your laptop for light work!).

This is just a rough idea, but the key is to block time for both your must-dos and your want-to-dos.
